2. Area Description

4. Summary of the Position

  • Lead on the planning and implementation of the financial and operational strategy for AI Brazil, working in conjunction with other departments to ensure that the organisation is sustainable; and reporting to the AI Brazil Senior Management Team (SMT) on financial management strategies and the financial implications of adopting new business activities (e.g., campaigns, projects).
  • Manage the strategy and flowchart, working closely with the Fundraising department, to ensure that AI Brazil becomes a financially self-sustaining entity
  • Provide regular budget updates, project financial report analysis, Board Report preparation, human resources, administrative and database management.
  • Ensure, along with all members of the SMT, that an operational and strategic integration of Departments is implemented and followed by all Amnesty Brazil members.

5.  Main Activities

  • Lead on and implement a robust and sustainable financial and operational strategy for AI Brazil
  • Oversee budget management and forecasting across the organization.
  • Directly responsible for planning, implementing, managing and controlling all financial-related activities of the organization so as to ensure the effective and efficient delivery of the Strategic Goals, Financial and Programmatic Objectives in compliance with the IS Standards, policies and procedures
  • Assess and establish, or improve upon, controls, policies, procedures and systems across all operational areas with specific priority on finance and human resources, ensuring compliance across the organisation
  • Work with all departments on their workplans, budgets, data management and human resources management ensuring compliance with Amnesty Brazil’s policies and Strategic Goals timelines
  • Manage cash effectively via proper planning of campaigns, programs and fundraising activities, whilst avoiding a cash crunch situation that can be a major obstacle to the success of those initiativesWork closely with the Finance and Fundraising departments to ensure integration and streamlining of systems, with automation where possible.
  • Work with the Senior Management Team (SMT) to ensure the implementation of the strategic objectives of the organization (monitor progress during executive meetings, support teams in relationship with external suppliers and banks and ensure staff has capacity and resources to achieve their objectives as planned).
  • Set and manage performance targets of its subordinated teams and maintain management information updated and provide timely information to the IS.
  • Manage and support the Administrative Manager to ensure Human Resources policies are implemented and being followed across the organization, ensuring that all departments conduce annual individual and team appraisals and human resources development capacity initiatives and improve efficiencies in staff benefits.
  • Manage and support the Database Team to ensure effective and reliable office databases and information, with high level standards for data security and privacy and sound and updated data quality that integrates all departments and respond to the organization’s needs.
  • Design, implement and communicate strategy for operational management to meet agreed organizational performance plans within budgets and timelines.
  • Manage the relationship with Suppliers, including by leading the relationship with Banks, aiming to reduce the office’s operational costs and improve efficiency of the office expenditure.
  • Establish and maintain appropriate systems and processes for measuring and evaluating necessary aspects of financial and operational management and development, ensuring that ICT (Information and Communication Technologies) works effectively across the organization.
  • Oversee strategies for security, ensuring that all staff are trained or inducted in security protocols and there are clear mechanisms for escalation.
  • Design and manage and monitor organisational risk and establish a risk mitigation strategy for the office.
  • Plan in accordance to the financial budget in order to meet the goals set in projects with Trusts & Foundations and Fundraising Team.
  • Ensure that AIB is legally sound and that it complains to all rules and regulations of Brazilian Legislation.

6.  Relationship with Other Departments

  • Responds, together with the Fundraising and Supporters Relationship Department, for the financial sustainability of the organization, ensuring an accurate and updated revenue and expenditure control system.
  • Supporting the Fundraising team with data analysis, ensuring accurate and timely donation transactions, and fundraising efforts by developing proposal budgets that are realistic and of high quality.
  • Design, together with the Campaigns and Programs Department, budgets, monitoring and budgetary management of research, campaigns and projects;
  • Develop and implement processes to ensure the integration of objectives and actions of the three departments of Amnesty Brazil;

7.  Support and Advisory to the Executive Director

  • Establish and monitors the goals and performance evaluation system for the organization;
  • Analysis of conflicts of interest and proposition of parameters for ethical and transparent execution and accountability of the operational plan of the IA in Brazil;
  • Support in articulating and negotiating financial and administrative matters with other sections and structures of Amnesty International Movement;
  • Support in the relationship with the Board of Directors;
  • Support the Executive Director in developing and overseeing the long-term strategies.
  • Responsible for organisation and coordination of the meetings and work plans of the Senior Leadership Team (SLT).
  • Other delegated responsibilities as requested by the Executive Director, and acting as Executive Director in her absence.

8.   Competencies and Skills

Requirements:

Advanced degree in management, finance, business administration or a relevant field;

  • Minimum of 8 years professional experience in a leadership role, with demonstrated success in managing teams and office operations, corporate engagement and relationship management, and managing complex budgets;
  • Proven experience in strategic financial planning and implementation;
  • Proven capacity of implementing and promoting process improvement and systematic changes;
  • Ability to focus on the longer-term vision for finance and operations, with the ability to drive this forward, and not get stuck in the details. Ideally, an experience of leading finance functions through a successful period of change;
  • Demonstrated experience in risk management and mitigation;
  • Knowledge and experience of the not-for-profit sector is desired;
  • Proven leadership skills with excellent capacity to manage Finance and Operations Teams;
  • Ability to inspire and motivate staff and external partners;
  • Demonstrated experience in developing, implementing and evaluating strategic plans;
  • High level of negotiation, facilitation as well as interpersonal and influencing skills and the capacity to develop and maintain strong relationships within Amnesty Brazil and across the Movement;
  • Have a high quality technical training and be capable of identifying what the organization needs in terms of basic controls/procedures/practices and support/supervise the adoption and implementation of those;
  • Superior oral and written communication skills in Portuguese and English;
  • Adherence to Amnesty’s values, mission and principles.
